AI Workshop - Designing Business Events with Your AI Team

* This AI workshop is conducted in English *

Invited by the Penang Convention & Exhibition Bureau(PCEB), this masterclass was delivered at BE @ Penang 2025 under the theme “BE THE WAVE: AI Workshop – Design Your Business Event with Your AI Team. PCEB is a state bureau established to develop Penang’s MICE and business events industry and to position Penang as a preferred destination for business events.

The workshop was designed for business events and marketing professionals who wanted to understand how Generative AI could be applied to real work. Event planners and marketers are expected to generate ideas, create content, design audience experiences, and explain performance within limited time. This AI Workshop focused on how AI could support those tasks as a practical partner.

What was the workshop about?

The masterclass was part of the BE @ Penang 2025 program. Under the theme BE THE WAVE, the session encouraged participants to move beyond observing change and start actively shaping the next wave of business events.

AI was positioned in the same way. It was not treated as a future technology to learn someday, but as a practical tool that could be applied immediately to event planning and marketing workflows.

Workshop Overview

The central theme of the AI Workshop was designing business events with an AI team.

The session was designed for business events professionals, MICE industry practitioners, marketers, event planners, brand teams, and content creators. It combined a masterclass format with hands-on exercises, allowing participants to use their laptops and work directly with AI platforms.

Key Workshop Sessions

1. How Generative AI is changing business events

The first session explored how Generative AI is changing the MICE and business events industry. Event work includes research, planning, proposals, promotion, operations, and reporting. AI can support not only one task, but the overall workflow across these stages.

The focus was not on applying AI everywhere. The workshop emphasized the importance of deciding which tasks require human judgment and which tasks can be supported by AI-generated drafts, summaries, or creative options.

2. Prompt Engineering Practice

The second session focused on prompt engineering. Prompt writing was introduced not as a simple instruction technique, but as a way to structure business problems.

Participants practiced defining the AI’s role, objective, audience, output format, tone, and constraints. Through this process, they saw how the quality of AI output changed depending on the clarity of the context provided.

3. Digital Audits and Research

The third session used Perplexity and NotebookLM for digital audits and research. In business events and marketing, professionals often need to analyze existing materials, check message consistency, and identify market trends quickly.

Participants used AI to summarize information, identify key issues, and generate improvement directions. The exercise showed that effective AI use depends less on searching more and more on asking better questions.

4. AI Content Creation

The fourth session focused on content creation with Gamma, Canva, Mokker AI, and Suno. Participants explored event descriptions, campaign ideas, visual assets, and sound concepts with AI support.

The goal was not to let AI produce final answers automatically. The purpose was to generate strong drafts quickly and then refine them with human strategy, brand understanding, and creative judgment.

5. Real Project Application

The final part of the workshop connected AI practice to participants’ own work situations. Instead of using only generic examples, the session encouraged participants to apply AI to event and marketing challenges connected to their professional context.

The key question was not “Which AI tool is the best?”
The more important question was “Where should AI be placed in our workflow to create the most value?”

What did participants experience?

As the workshop message stated, “Bring your laptop and get ready to ride the AI wave.” The masterclass was designed as an active learning experience. Participants did not simply listen to a lecture. They used AI tools on their own laptops and created outputs during the session.

For participants who were new to AI, the hands-on structure helped make the technology more approachable. For experienced professionals, it offered a clearer way to connect AI tools to event planning, content production, and marketing execution.
